Member Management

View, create, and manage member profiles, designate finance administrators, track family relationships, and export member data.

Member Management

The Member Management section allows you to view all members in your church, add new profiles, edit existing information, designate finance administrators, manage family relationships, and export member data for use in other systems. This is your centralized directory for everyone involved with your church, whether they're active givers, volunteers, attendees, or staff.

Viewing Your Member Directory

The Members page displays a complete list of all people in your church database. Each member entry shows their name, contact information (email and phone), role or position, membership status, and giving summary. You can sort the list by name, join date, or giving activity, and use the search bar to quickly locate a specific member by name, email, or phone number.

The member list also includes filter options to show only active members, staff, volunteers, or inactive members. This helps you manage different segments of your congregation and focus on the group you need to work with at any given time.

Creating a New Member Profile

To add a new member, click "Add Member" and fill in their basic information: first name, last name, email address, and phone number. You can also designate their role (member, volunteer, staff, finance admin, pastor), assign them to a family group, note their membership status (active, inactive, visitor), and add personal details like birthdate and membership date.

Once created, the member profile is available across all 1st Flock apps. The new member can receive communications, be assigned to events, tracked for attendance, and included in giving reports.

Editing Member Profiles

Click any member's name to view and edit their full profile. You can update contact information, change their role or position, modify family assignments, adjust membership status, and add or edit personal notes. Changes save immediately and are reflected across all 1st Flock apps. If a member's contact information changes—for example, they move or get a new phone number—update their profile so communications reach them correctly.

Designating Finance Administrators

Some members of your church may need permission to view financial reports, manage giving, or oversee billing. You can designate specific members as "Finance Admins" by editing their profile and selecting that role. Finance admins see sensitive financial data, giving reports, and fundraising metrics. Be intentional about who you grant this access to, and consider limiting it to your finance team, treasurer, or senior leadership.

Managing Family Relationships

Members can be organized into family groups. When you create a profile or edit an existing one, you can assign that member to a family. Family grouping is useful for household giving tracking (seeing all donations from members of the same family), coordinating event registrations, and managing communications to multiple household members. You can view all families from a dedicated "Families" section and manage which members belong to each family unit.

Member Giving Summary

Each member's profile includes a summary of their giving activity: total lifetime giving amount, average gift size, last gift date, and count of donations. This summary helps you understand member engagement and can guide pastoral care conversations. Finance admins can dive deeper into detailed giving reports broken down by fund, date range, and payment method.

Member Communication Preferences

When editing a member's profile, you can set their communication preferences. Some members may opt out of email communications, others may prefer text messages, and still others may request no promotional messages. Respect these preferences when sending newsletters, announcements, or event invitations.

Membership Status

Members can have different statuses: Active (current members involved with the church), Inactive (former members who may return), Visitor (attendees still discerning their involvement), and Archived (historical records). When you change a member's status—for instance, marking them inactive—their giving is preserved in reports, but they may be excluded from certain communications or event lists depending on your church's preferences.

Bulk Member Actions

If you need to update multiple members at once—such as changing membership status for a large group or updating contact information—you can select multiple members and perform bulk actions. This saves time compared to editing individual profiles and ensures consistency across your database.

Exporting Member Data

The Members page includes an "Export" function that generates a CSV file of all members (or filtered subsets). This file includes name, contact information, role, membership status, giving summary, and custom fields. CSV exports are useful for creating mail-merge documents, importing into email marketing platforms, or providing snapshots of your directory to other systems.

Member Privacy and Data Security

All member information is encrypted and accessible only to authorized church staff (those with your 1st Flock login). Member email addresses and phone numbers are never shared with third parties without explicit consent. When a member opts out of communications, their preferences are strictly honored across all 1st Flock channels.

Deactivating or Archiving Members

If a member leaves your church or is no longer active, you can change their status to "Inactive" or "Archived" rather than deleting them. This preserves their historical giving record and attendance history for reporting purposes. Inactive members are typically excluded from event invitations and regular communications but their data remains accessible for reference.

Duplicate Member Detection

When adding new members, 1st Flock alerts you if a member with a similar name or email address already exists. This helps prevent duplicate entries. If you discover duplicates after the fact, you can contact support to merge member records while preserving all associated data (giving, attendance, etc.).

Viewing Member Activity

Some member profiles include an activity timeline showing recent actions: when they attended events, when they gave, when they updated their profile information, or when they interacted with your church through other 1st Flock apps. This provides context for pastoral conversations and helps you understand member engagement patterns.
