Invoices and Payment History

View, download, and manage your invoices, payment history, and retry failed charges with transparent billing records.

Invoices and Payment History

The Invoices section provides a complete record of your billing activity. You can view past invoices, preview upcoming charges, download PDF copies for accounting and tax purposes, monitor payment status, and retry failed payments—all from one convenient dashboard.

Streaming is billed separately and its bills are not listed here. You will find them, and can pay them, under Bills on the Streaming page — see Paying your streaming bill in Streaming Your Services.

Understanding Your Invoice

Each invoice shows the billing period, invoice number, due date, and itemized charges. Charges typically include your base subscription tier, any add-ons you've purchased, and adjustments for prorations or promotional credits. Your invoice also displays the payment method used, payment status, and the total amount due. Tax information, if applicable to your church, is itemized separately.

Viewing Invoice History

Navigate to the Invoices page to see all past invoices sorted by date. Each row displays the invoice number, period, amount due, and current status. You can click any invoice to view its full details, including line items, applied credits, and payment information. Invoices are typically generated automatically on your renewal date each month or year, depending on your billing interval.

Previewing Your Upcoming Invoice

Before your renewal date arrives, you can preview what your next invoice will look like. The upcoming invoice preview shows all charges that will be applied, any promotional credits that are active, and the total amount that will be charged. This preview updates automatically whenever you change your subscription or add new services. If you're planning a subscription change, the preview will recalculate to show your adjusted upcoming charge.

Downloading PDF Invoices

Each invoice can be downloaded as a PDF for your records. Click the download icon next to any invoice, and a formatted PDF will be generated and saved to your computer. These PDFs include your church's information, itemized charges, payment dates, and a record of how the invoice was settled. Many churches save these PDFs for accounting and tax reporting purposes.

Understanding Invoice Status

Invoices display status badges that indicate where they stand in the payment process. Paid invoices have been successfully charged and cleared. Pending invoices are awaiting payment on their due date. Overdue invoices are past due and require immediate attention. Failed invoices indicate that the payment was attempted but declined; you'll need to retry payment with updated payment information. Refunded invoices show that a full or partial refund was processed.

Failed Payments

If a payment fails—perhaps due to an expired card, insufficient funds, or a temporary network issue—the invoice will be marked as Failed. Contact our support team to resolve payment issues or update your payment method.

Payment History Details

The payment history section shows every transaction processed on your account. Each entry includes the payment date, amount, invoice number, payment method used (last four digits), and transaction status. You can filter payment history by date range or status to quickly locate specific transactions. This comprehensive record is useful for reconciliation with your church's accounting system.

Adjustments and Credits

When you make subscription changes—such as upgrading your tier or switching your billing interval—you may receive credits for unused balance. These credits appear as line items on your next invoice, reducing the amount due. Promotional discounts are also shown as credits. All adjustments are itemized so you understand exactly how your invoice total is calculated.

Account credits

Your church may have an account credit balance with 1st Flock, for example from a refund or a goodwill credit. Credits are used automatically, oldest first, on everything 1st Flock bills you for: subscription renewals, the first month of a new product, upgrades and storage changes, websites and DNS, domain purchases and renewals, and streaming.

When a promotion code applies to what is being billed, the promotion comes off first and your credits pay what is left. A charge that a promotion covers completely leaves your credits untouched for something else.

If your credits would leave only a few cents for your card, they cover slightly less so that the card charge is at least $0.50, the smallest charge a card can take. You pay the same total, and the difference stays on your credit balance.

Credits are never used for anything charged through your church's own giving account, such as donation processing.

Viewing Payment Method Used

For each invoice, you can see which payment method was charged. If you've updated your payment methods since an invoice was issued, the original payment method used will still be displayed for that invoice's history. This helps you track which cards or accounts have been charged over time.

Disputing a Charge

If you believe a charge is incorrect, contact our support team at support@1stflock.com with your invoice number and details. Our team will review the charge and help resolve any discrepancies. We maintain a 30-day dispute window from the invoice date.

Exporting Invoice Records

For broader financial analysis, you can export your entire invoice history as a CSV file. This file includes all invoices, amounts, dates, and statuses and can be imported into your church's accounting software for reconciliation and reporting.

Late Payment and Collections

If an invoice remains unpaid after 30 days, we'll send additional payment reminders and may suspend service access depending on your subscription agreement. Maintaining current payment status ensures uninterrupted access to all 1st Flock features. If you're facing hardship or need to discuss a payment plan, contact our billing team to explore options.
