Ledger

Manage transactions via bank integration or manual entry. Track income, expenses, and transfers with automatic fund allocation.

Ledger

The Ledger is the central hub for managing all your financial transactions. Choose between automatic bank integration or manual transaction entry based on your organization's needs.

Bank-Connected Mode

Plaid Integration: Connect your church's bank account directly via Plaid for automatic transaction importing. Supported institutions include most major U.S. banks and credit unions.

Multi-Account Support: Link multiple bank accounts (checking, savings, credit cards) within a single Plaid connection. Each account's transactions are imported separately.

24-Month History: When you first connect an account, historical transactions are imported back 24 months. Ongoing imports update daily with posted transactions from your bank.

Automatic Fund Allocation: Imported transactions are matched against your allocation rules (see Rules page). Matching transactions are automatically assigned to the correct fund. Unmatched transactions remain unallocated pending your manual assignment.

Manual Entry Mode

Use manual entry for cash donations, transfers between funds, expenses not processed through your bank, or if you prefer not to connect to Plaid.

Transaction Fields:

  • Date: When the transaction occurred
  • Description: Memo or narrative (e.g., "Weekly offering," "HVAC repair," "Transfer to Building Fund")
  • Amount: Dollar value
  • Type: Select Income, Expense, or Transfer
  • Fund Assignment: Allocate to one or more funds (fixed amount or percentage splits)

Full CRUD: Create, read, update, and delete transactions as needed. Editing a transaction updates fund balances immediately.

Transaction Table

View all transactions in sortable, searchable columns:

  • Date — Transaction date (sortable)
  • Description — Transaction memo (searchable)
  • Amount — Dollar value (sortable)
  • Type — Income, Expense, or Transfer
  • Status — Pending, Matched, or Allocated
  • Fund — Primary fund assignment

Filters: Narrow by date range, transaction type, fund, or allocation status. Search: Find transactions by partial description match. Export: Download filtered results as CSV for external analysis.

Fund Allocation

Every transaction must be allocated to one or more funds. Choose from two allocation methods:

Fixed Amounts: Assign specific dollar amounts to each fund. The sum should equal the transaction amount. Example: $100 income split $60 to General, $40 to Building.

Percentages: Distribute by percentage across multiple funds. Percentages must total 100%. Example: $100 donation split 70% General (=$70), 30% Missions (=$30).

Allocation Status Badges: Unallocated transactions show a yellow "Pending" badge. Once assigned, they show "Allocated" in green.

Switching Modes

If you switch from manual entry to bank-connected mode (or vice versa), you'll be prompted to confirm the change. Switching will not delete existing transactions but may affect how future transactions are imported or entered. Plan your mode carefully before making extensive changes.

Tips

Bank imports may lag 24 hours behind your bank's posting date. For immediate tracking of cash donations, use manual entry. Regularly review unallocated transactions to keep your ledger organized and ensure accurate fund assignments.
