Children's Ministry
Manage classroom check-ins, room capacity, age groups, and incident tracking
Children's Ministry
The Children's Ministry module helps you safely manage children's programs, track attendance by room and age group, and maintain incident reports.
Staff Dashboard
Children's ministry staff see a dedicated dashboard during service times showing:
- All active rooms and their current occupancy
- Current and capacity levels
- Alert notifications if a room reaches capacity
- Quick access to check-in lists and incident reporting
The dashboard updates in real time as children are checked in.
Room Management
Set up individual rooms for your children's ministry (e.g., Nursery, Toddlers, Preschool, Elementary). For each room, configure:
- Room Name & ID: Display name and a unique identifier for easy lookup
- Age Groups: Specify the age range served (e.g., 0-2 years, 3-4 years)
- Maximum Capacity: Set a safe limit based on space and adult-to-child ratio
- Assigned Staff: Designate lead teachers and assistants for each service
- Check-In Method: PIN-based, name search, or both
My Children (All Members)
Parents and guardians access the "My Children" section to:
- View all their enrolled children with birth dates and ages
- See check-in and check-out history
- Manage medical information and special needs
- Upload permission forms and health documentation
- Review incident reports involving their children
This helps parents stay informed and ensures critical health information is always available to staff.
Check-In & Check-Out
During services, children are checked in through the kiosk or staff mobile app. Staff see a list of expected children for each room and can quickly check them in by name or parent PIN.
At pickup, parents or designated guardians check the child out. The system tracks exact times and who was responsible, providing accountability and safety records.
Incident Tracking
Staff can log incidents involving children (minor issues, behavioral notes, medical needs, or accidents). Each incident record includes:
- Child's name
- Date, time, and room
- Description of what occurred
- Staff member who reported it
- Any follow-up actions needed
Parents can view incidents involving their children in their "My Children" section. This transparency builds trust and ensures parents are informed.
Children's Ministry Settings
Administrators configure:
- Exit Code: A security code required to leave kiosk mode (prevents unauthorized access to the kiosk screen)
- Room Configuration: Add, edit, or delete rooms
- Age Groups: Define the age brackets your church uses
- Permission Forms: Upload templates for parent sign-offs
- Staff Roles: Define leader, assistant, and substitute designations
Staffing & Assignments
Assign specific staff members to rooms for each service. Create templates for recurring assignments (e.g., same staff every Sunday). The system notifies assigned staff of their upcoming schedules.
Next Steps: Set up background checks for all children's ministry staff, or configure check-in settings in the Settings section.
