Service Planning
Plan and organize church services with team assignments and service order details
Service Planning
Service Planning is where your church coordinates weekly (or regular) services, assigns team members to roles, and shares service details with the congregation.
Who Can See What
Members view only published services. They see the service date, time, theme or title, assigned speakers, and any special announcements. This helps them know what to expect when they arrive.
Staff and Administrators see all services in three categories: Draft (not yet published), Published (live), and Archived (past services). You can create, edit, and delete services in any status, and control when they become public.
Creating a Service
Click "Create Service" to start planning a new service. Fill in:
- Date & Time: When the service will be held
- Title/Theme: A short title (e.g., "Easter Celebration" or "Sermon Series Part 3")
- Description: Details about the service or theme
- Service Order: Build out the structure with songs, prayers, announcements, sermon, etc.
- Assigned Team Members: Designate roles for speakers, musicians, readers, greeters, and other volunteers
Service Order
Within each service, you can define the order of elements. Add sections for:
- Opening remarks or welcome
- Songs or worship (specify titles and artists if pulling from your media library)
- Prayer
- Scripture reading
- Sermon or message (assign the speaker)
- Announcements
- Closing prayer or benediction
Each element can include notes for the team—cue times, lyrics, talking points, or special instructions.
Assigning Team Members
For each role in the service, assign a specific staff member or volunteer. Their name appears on the published service view, helping the congregation know who to recognize. Staff members assigned to a service will receive a notification.
Publishing Services
When you're ready to share a service with members, click "Publish." The service will become visible to all members in the calendar and Events section. You can update a published service at any time—changes are reflected immediately.
Draft services remain invisible to members. Use drafts to plan ahead without revealing unfinished services.
Filtering Services
Use the filter buttons to view only Draft, Published, or Archived services. This makes it easy to focus on upcoming planning while keeping past services organized.
Archiving Services
After a service has been held, you can archive it. Archived services are hidden from the main view but remain in the system for record-keeping and statistics.
Next Steps: Visit the Calendar to see all services visually, or navigate to Staff to manage team members and their assigned roles.
