Build and manage your church member database with flexible enrollment and profile management

Members

The Members section is the heart of your church database. It stores contact information, demographics, and key details about each person in your congregation.

Adding Members

You have three flexible options to grow your member directory:

Add Individually: Click "Add Member" and fill in details one person at a time. Enter their name, email, phone number, address, date of birth, gender, and any other relevant information. This is ideal for first-time visitors or individual additions.

CSV Import: If you have members in a spreadsheet, use the CSV import tool. Prepare a file with columns for name, email, phone, address, and other fields, then upload it. The system will validate the data and add members in bulk—great for migrating from another system.

Planning Center Migration: If your church uses Planning Center Online, click "Connect Planning Center" to import your entire member list directly. The integration automatically pulls member details and stays synced with your PCO account.

Managing Member Profiles

Click on any member's name to view or edit their profile. You can update:

  • Contact information (email, phone, address)
  • Demographics (date of birth, gender, marital status)
  • Ministry roles and group memberships
  • Preferred communication method
  • Notes or history

Staff members can edit any member's profile. Regular members can edit their own information only.

PIN Setup for Check-In

If your church uses the check-in kiosk, each member can have a 4-digit PIN. Members (or their parents, for children) set their PIN in their profile, which they'll use to quickly check themselves in at events or services without having to search by name.

Searching & Filtering

Use the search bar to find members by name, email, or phone number. Filter the member list by:

  • Status: Active, Inactive, Prospective
  • Membership Level: Member, Visitor, Staff
  • Groups: Show members of a specific small group or ministry
  • Date Joined: Find recently added members

These filters combine to help you segment your database for targeted communications or reports.

Exporting Members

Export your member list as a CSV file for use in external tools or for backup purposes. The export includes all fields in your database. Click "Export" at the top of the member list, and a file will be generated for download.

Member Privacy

Members see only their own profile and can update their own information. Staff see all member details but cannot export contact information without administrator approval. Personal data is encrypted and stored securely.

Next Steps: Create Groups to organize members into small groups or ministry teams, or set up background checks for those serving in sensitive roles.
